What Espresso Machine Repair Costs in Southern California

Every price we charge, on one page. The diagnostic and every maintenance tier are fixed. Repair is estimated after we have looked at the machine, and never charged above that estimate without your approval.

We publish our prices because most shops in this region will not. A fixed diagnostic, a flat rate for every kind of service, and an honest account of how a repair gets priced — so you can decide whether to call us before you spend twenty minutes on the phone finding out.

MACHINES WE COLLECT

$145 diagnostic — includes pickup from your address and return delivery. $60 is credited toward the repair when you approve an estimate of $200 or more.

Countertop machines under 70 lbs, single courier. Between 70 and 100 lbs, or up stairs without an elevator, two people handle it and the additional charge is quoted before the courier is booked.

MACHINES WE COME TO

$145 diagnostic — a technician comes to you. It credits in full toward the repair when the work proceeds on the same visit.

Anything over 100 lbs, plumbed into a water line, with more than one group head, or in a business that cannot stop serving. A plumbed machine is not a pickup job — the reconnection is where the leaks start.

No diagnostic fee on any of these — we already know what the job is. Collection and return are included on every tier we service at the shop. Each row links to the full scope of work.

How a repair
gets priced.

We do not publish a repair price list, and nobody honest can. What a repair costs depends on what failed, and we do not know that until the machine is open. What we can publish is exactly how the number is arrived at, which is the part that usually goes unsaid.

  • Diagnosis first, estimate second. The machine is examined before anyone quotes a repair. You get a written estimate: what failed, what the parts and labor cost, and whether the repair is worth it against the machine's age and market value.
  • Nothing above the estimate without your approval. If the machine needs more than the estimate covers, we stop, photograph what we found, and send you the revised price. You approve it or you do not.
  • The second repair on the same machine is 20% off. And any further one after that. The machine is already open and already on the bench — you should not pay twice to get it there.
  • $60 of the diagnostic comes off. On an approved estimate of $200 or more, for a machine we collected. On an on-site visit the diagnostic credits in full when the work proceeds on the same visit.
  • On-site repair is quoted in a written estimate after the diagnostic visit. Parts and labor are itemised in that estimate.
THREE WORKED EXAMPLES

Representative job, not a specific customer. The diagnostic fee is our published rate. The repair figures are typical for this work — your own price comes in a written estimate before anything is done.

A super-automatic that stopped making coffee

A four-year-old bean-to-cup, collected from the customer's address. Diagnostic $145, agreed in writing before the courier went out. On the bench it was the brew unit — worn seals and a tired drive gear, not a dead machine. Estimate came back at $280 for the rebuild, approved. Because the estimate was over $200, $60 of the diagnostic came off it. Total paid: $145 diagnostic, then $220 for the repair. Back at the address in four business days.

An E61 prosumer pulling slow, uneven shots

No service in several years. Collected, diagnostic $145. On the bench: a restricted gicleur, a hardened group gasket, a carbonised shower screen and an OPV drifted off 9 bar. Two jobs, quoted separately — $269 for the E61 group rebuild, and $199 before the discount for clearing the gicleur and checking the expansion valve. The second job came off 20% because the machine was already open, so $199 became $159.20. $60 of the diagnostic came off the approved estimate.

A machine that was not worth repairing

An entry machine with a failed heating element and a corroded boiler. Diagnostic $145, collected. The written estimate put the repair close to the cost of replacing the machine, and said so in those words with the replacement price next to it. The customer declined. We delivered it back and nothing further was owed — $145, and an honest piece of paper they could act on.

What the repair costs depends on what we find. You get a written estimate before anything is done, and you can decline it — we bring the machine back and nothing further is owed.

SECTION 05 · SURCHARGES

What makes a job
cost more.

Flat rates cover a machine in normal working condition. Nine things take a job outside that, and every one of them is visible when the machine is open rather than when it is booked. We photograph what we find, send you the price, and wait for your approval before continuing — in every one of these cases, without exception.

Heavy scale
The boiler or thermoblock has enough limescale that a normal descale cycle will not clear it, and the machine needs repeat soaks or a strip-down.
A seized brew group
The group will not come apart under normal force, usually after years without a service, and has to be freed without damaging the housing.
Milk-line biofilm
The milk circuit has a established film that sanitising will not shift, so the valves and lines come out individually rather than getting flushed in place.
Long standstill
The machine has sat unused long enough for seals to harden and water to stagnate in the boiler, which turns a service into a recommissioning.
Prior disassembly by someone else
Missing screws, wrong seals, cross-threaded fittings or a part fitted the wrong way round. We have to undo the previous attempt before we can start ours.
Two-person handling
The machine is between 70 and 100 lbs, or has to go up stairs without an elevator, so two people move it instead of one.
Rush handling
You need the machine back faster than the normal three-to-five business days and we reorder the bench around it.
Out of zone
The address sits outside the six counties we cover, or far enough into one that the round trip stops being a normal courier run.
After hours
A cafe that cannot close needs the work done before opening or after last service, so the visit lands outside dispatch hours.

Capsule machines are sealed units built to be replaced, not opened — the labor to service one costs more than the machine. A drip maker under $150 is the same math. We would be taking your money to hand back something worth less than the bill.

SECTION 07 · COMPARISON

How this compares
to the usual arrangement.

The common shape in this region is an hourly labor rate with a one-hour minimum, plus a travel or service-call fee added on top, and the machine is your problem to deliver. That is a legitimate way to run a shop. It is also three numbers you cannot add up until someone has been to your house.

Ours is one number you can read before you call. The diagnostic includes collection and return rather than adding them, because a diagnosis fee in California is required to include the transport it depends on. Maintenance is a flat rate per machine class, published above. Repair is the only thing quoted after the fact, and it is quoted in writing.

We are not claiming to be cheaper than any particular shop, and we do not know what yours quoted you. We are claiming the total is knowable in advance, which is a different thing and the one that actually costs people money when it is missing.

Frequently asked.

Q-01 What happens if I decline the estimate?
We bring the machine back and you owe nothing beyond the diagnostic you already agreed to. No return charge, no restocking charge, no pressure. You keep the written estimate, which is worth having if you take the machine elsewhere or decide to sell it.
Q-02 Is the diagnostic refundable?
It is not refundable, it is creditable. On a machine we collect, $60 of it comes off an approved estimate of $200 or more. On an on-site visit it credits in full toward the repair when the work proceeds on the same visit. If you decline the repair, the diagnostic stands — it paid for the transport, the bench time and the written diagnosis, and those happened.
Q-03 Do you price-match another shop?
No. We publish our prices so you can compare them before you call, which is the honest version of the same thing. If someone quotes you less for the same scope of work, take it — and read their quote carefully for whether transport, parts and the diagnostic are inside the number or added later.
Q-04 What if the repair costs more than the machine is worth?
We say so in the written estimate, in those words, with the replacement cost next to the repair cost. A brew-unit rebuild on a six-year-old super-automatic is usually worth it. A heating element and a control board on a nine-year-old entry machine usually is not. We would rather lose the job than take money for a machine you should be replacing.
Q-05 How do you decide whether it is a pickup or an on-site visit?
Weight and plumbing. Under 70 lbs and not plumbed in, a single courier collects it. Between 70 and 100 lbs, or up stairs without an elevator, two people collect it. Over 100 lbs, plumbed into a water line, more than one group head, or in a business that cannot stop serving, a technician comes to you instead. We tell you which applies when you send the model plate, not after the courier arrives.
Q-06 What if it needs a part you cannot get?
You get told, with a date, on the written estimate — not a fortnight of silence. Some boards and platform-specific solenoids run on manufacturer distribution and take weeks. If the part is genuinely unavailable we say so and return the machine, and you owe the diagnostic and nothing else.
Q-07 Do you work on machines bought grey-market or imported?
Yes, with one caveat we will be upfront about: parts for a machine built for another market can be slower to source, and a 220V machine on a step-down transformer brings its own problems. We will service it. We will also tell you honestly if the parts pipeline makes it a bad long-term ownership prospect.
Q-08 Is the written estimate binding?
We do not charge above it without your approval. If the machine turns out to need more than the estimate covers, we stop, photograph what we found, and send you the revised price for approval before continuing. That is not a courtesy, it is how California requires appliance repair to work.
